okay so it is three ships that you have to find.
i have been to every single system and can't find anything.
am i on the right track when i say "is it something to do with me being only militia grade?"
i am completely stuck and losing patience so any help would be much appreciated.

Have you played Frozen Heart?
If you have, goto systems and the systems nearby that were central to the story. The second ship is near where you are from and to find the third you need to complete the stolen art missions.

I've been stuck for the last few days (real time) trying to find the third freighter and your clue has me totally stumped. I just assumed that after seeing alana she would eventually let me know. But now I'm not so sure. Could you please be a little more descriptive?

Sure.
In the E3 universe, sometimes, there will be more than one port on a planet. For example, in Sol 3 there's a fourth port which is on Earth as well as the first one. To get to these, you need only press number keys 1-4 in whatever system you are in to see if there are any hidden ports.
The last ship is in one of these hidden ports.

i'm pretty sure i've found the right system to get the art theft mission. but i don't get it.
i'm wondering if its because my combat rating is only militia grade. i remember something about this on frozen heart.

The plot does take awhile, but stick with it, as it's worth it.
As for your combat rating, keep boosting it until you get to a dangerous sounding adjective. It needs to be rather high to get some of the more interesting missions. To do this, you might want to hang around in the planetless systems near Pirate worlds and peg off ships (Plasma Pods will help, as I presume you're not in the most fearsome of ships). My favorite spot was in the northeast corner of the map. There's a planet there that's basically nothing but a refuling station right in the middle of pirate-land, and it acts as a great save point.
My advice is to look at the information you've been given VERY carefully, and completely give up on exploring to get that third freighter. You are NOT going to find it my exploring.
Oh, I must say that FF is a Does have a kickass ending. Loads of congrats to the maker.
